Invite teammates from Settings, Team: enter an email, pick a role, send. The teammate signs in with that email to join your shop. The link is tied to the address you invited, so a forwarded link can't be used by someone else. Pending invites can be copied or revoked.
The three roles
| Role | What they can do | What they cannot |
|---|---|---|
| Admin | Everything: financials, billing, settings, integrations, team | Nothing off limits |
| Service writer | Front desk: quotes, invoices, scheduling, assigning, taking payment | Financials, billing, settings; not assignable on the schedule board |
| Technician | The work: assigned jobs, time logging, inspections, plus scheduling and taking payment | Financials, billing, settings |
Roles are permission tiers, not job titles. An owner is simply an admin.
One panel per person
Expand any member on the Team page and everything an admin sets about them is one short panel, top to bottom:
- The header line. Their role as a menu (Admin, Service writer, Technician; you cannot change your own, and the shop always keeps one active admin), then the facts as toggle pills (ink with a check when on, an outlined pill when off; tap to flip): Diag-capable (who can take diagnostic drop-offs; booking capacity checks respect it), On schedule (whether they appear as a lane on the schedule board; techs default on, service writers off), and Commission (the rules in words, or Set up commission).
- Can do. The switches, two columns.
- Alerts and Pages. One row of the same toggle pills each: a pill in ink with a check is on, an outlined pill is off. Tap one to flip it.
- Hours. One line per day for scheduling: a day switch and the start and end times. Changes save on their own.
- Restrict sign-in hours and Deactivate as two quiet links at the bottom.
Hover any switch or pill for the one-line explanation.
What each person can do
Roles are tiers; the switches are per person. Expand a member and Can do shows the short set an admin can turn on or off; a switch that differs from the role's default carries a quiet "custom" mark:
| Switch | Service writer starts | Technician starts |
|---|---|---|
| Edit prices | On | Off |
| Give discounts | On | Off |
| Void quotes and invoices | On | Off |
| Reopen paid invoices | Off | Off |
| Delete jobs | On | Off |
| See prices and payments | Always on | Off |
| See all vehicles | Always on | On |
| Go past a credit limit | Off | Off |
| Record customer approvals in shop | On | Off |
Admins can do everything and have no switches. A switch is enforced on the server and in the app, not just hidden: the refused action says what is off and points at the Team page. Shops that were already using CarSignal keep every member's previous reach; the tier defaults apply to people you invite from now on.
- Record customer approvals in shop. The Record approval door on a quote and on a revised job: who said yes, in person, by phone or by text, with the drawn signature at the counter. Off and the door is absent (only Send for approval or Send for re-authorization remains); the server refuses a record from that account.
- See all vehicles. Off and that tech's board, schedule, search, and mobile app show only vehicles assigned to them. Admins and service writers always see everything.
- See prices and payments. Off and prices and totals disappear from the board, the car page (job rows, line prices and totals, approved subtotals) and the whole mobile app, and payment actions disappear everywhere, part names and quantities stay. Alerts read the same way: a quote approval reaches them as "Quote approved" without the amount. Money actions are also refused server-side for that member. New technician invites start with this off.
Whoever checks a car in becomes its default assignment: a tech becomes the assigned tech, a service writer becomes the service writer, and an admin becomes both. Reassign anytime from the vehicle page.
- Pages. Every non-admin member has a Pages row: Estimate, Inventory, Templates, Clients, Outreach, Receptionist. Each page is a toggle pill (ink with a check = granted, outlined = removed); tap one to grant or remove that page for the person. Removed pages leave their navigation on web and mobile. Everyone starts with all pages; Vehicles and Schedule are always on.
Alerts per person
Under each member, Alerts is one row of toggle pills: Bookings, Approvals, Payments, Reviews, Messages. Tap a pill to turn that kind of in-app alert off for the person (the pill goes from ink with a check to outlined); everything else they are part of (their own jobs, schedule changes, parts arriving) still arrives.
Sign-in hours and sign-in history
Everyone can sign in any time until you say otherwise: at the bottom of a member's panel, Restrict sign-in hours is one quiet link. Click it and the editor appears: Any time (the default) or Set hours, then switch on the days and pick a start and end for each, in the shop's time zone. Once hours are set the link reads Sign-in hours restricted; click it any time to see or change them. Outside the window the person cannot sign in and every request is refused with a clear message.
Sign-in history is not on the Team page. Settings, Account, ••• Audit log lists Sign-ins under the activity feed, filtered by the same Person menu: the time, IP address, browser or app, and whether one was refused.
Deactivating someone
Deactivate (the red link at the bottom of the panel) keeps everything they did (jobs, time, invoices, the audit trail) and stops them signing in at your shop. They show as Inactive at the bottom of the Team list; Reactivate brings them back with the same settings. You cannot deactivate yourself, and the shop always keeps at least one active admin. Remove (for good) is only offered once a member is inactive.
Punch clock and hours
Time lives on the Dashboard, not in Settings. The Team today card starts with your own row: Punch in when you arrive, Punch out when you leave, with how long you have been on. The same Punch in / Punch out · 2h 14m on the clock is the first item of the account menu (your name at the bottom of the sidebar), one tap from any page. Admins also see On the clock now on that card, with a Punch out beside each name for the tech who forgot.
The Hours card under it is this week: Shop time (the punch clock) beside Billed time (the job timers from the vehicle page and the phone) for you, or for admins, you plus everyone with time this week (a 0-minute row is not shown). The two are different clocks and are never added together. Open a row for the full timesheet: pick a pay period (this week, last week, last two weeks, this month, last month), see every day with its punches, and Download CSV for payroll: one row per punch with in and out times, a day total, and a period total in decimal hours. Days follow the shop's own time zone; a punch that crosses midnight is credited to the day it started.
Commission
Rules live on the person; earnings live with the money.
- Rules (admins): expand a member on the Team page and the Commission chip in their header line shows the rules in a few words ("Commission 10% of labor · 15% of labor on Brakes"), or Set up commission. Tap it and the editor opens in place under the chips: each rule is a rate that is a percent of labor, a percent of parts, or a flat amount per job, for every job type or for one job type (brakes, oil change, tires, and so on). A job type rule replaces the all-types rule on the same basis. A job counts for a person when they are its technician or its service writer, on invoices paid in the period.
- Earned (admins): Financials, Commission: pick a person and a pay period and the page shows the total, the formula in words, and every paid job that earned, from the same numbers Financials uses.
- My commission (everyone else): the account menu has My commission, the same view for yourself only.
What each person sees
Everyone starts with the full navigation; use the Pages row on the Team page to trim it per person. Financials and most of Settings are visible to admins only, and technicians never see the setup-progress meter. Everyone manages their own profile and two-factor authentication.
Audit log
Settings → Account → ••• → Audit log (admins only) lists every action in the shop, newest first: who checked a vehicle in, started the repair, marked parts ordered, sent the quote, took the payment, amended a check number, and so on. Filter by person to see one member's trail, and click through to the vehicle. Under the feed, Sign-ins lists the last sign-ins for that person (or everyone) with the time, IP address, browser or app, and any refused attempt. The same events also appear on each vehicle's Activity timeline with "by name" attribution.
Who gets notified
Notifications follow the same boundaries. Admins see everything. Service writers get customer activity: texts and replies, quote responses, payments, views, missed calls, leads. Technicians get new bookings and job requests as they arrive, plus events on their own assigned jobs: parts arriving, approvals, schedule changes. Access restrictions apply here too: a tech limited to assigned vehicles isn't buzzed about incoming cars, and a member without the Receptionist page doesn't get lead or missed-call alerts. Nobody's phone buzzes for work that isn't theirs or that they can't open.
Time-off requests live on the Schedule page: techs request, admins approve, and the calendar reflects it automatically.
